This is not a generic VA role. It’s a structured operations and client delivery position with defined routines, SOPs, and high standards.
The Role: Client Delivery Operations Assistant (Property)
You’ll support our Operations team by keeping property deals moving smoothly and running essential finance admin routines that protect rent, cashflow, and clean records.
This role suits someone who enjoys:
- Structured admin and operations
- Confidently chasing third parties
- Working with CRMs and task systems
- Following SOPs while spotting gaps and improvements
Key Responsibilities
Client Delivery & Operations Admin
You will:
- Manage Day 0 onboarding (WhatsApp groups, onboarding messages, folders, Podio setup)
- Keep live property deals updated in Podio (tasks, statuses, documents, deadlines)
- Confidently chase solicitors, agents, brokers, surveyors, letting agents, and suppliers
- Handle insurance and survey admin (quotes, reminders, tracking)
- Upload and organise key documents and compliance certificates
- Manage viewing media (correct naming, uploading, and sending updates using templates)
- Support lettings handover admin (listings, compliance, tenant tracking)
- Convert delivery-critical emails into clear Podio tasks
- Flag risks early and suggest operational improvements
Finance & Admin Routines (Fixed Weekly Blocks)
You will:
- Monday & Thursday: Verify lettings tallies and flag rent exceptions same day
- Tuesday & Friday: Check, upload, and log supplier invoices for payment
- Friday: Review Stripe and bank payments and update Podio records
- 1st–3rd working day: Support month-end close tasks (including 2FA coordination)
- Manage Hubdoc receipts/invoices, MileIQ reporting, and bookkeeping support tasks
Hours & Schedule
- 20–25 hours per week, Monday to Friday
- Must cover UK afternoons (typically 12:00–17:00 UK time)
- Training period (first 2–4 weeks) may require earlier start times on some days

What You’ll Need to Succeed
Essential
- 1+ year experience in operations, admin, or client delivery (remote preferred)
- Confident and professional chasing of third parties
- Strong written and spoken English
- High attention to detail (documents, dates, CRM hygiene)
- Experience using CRMs or task tools (Podio strongly preferred)
- Comfortable following SOPs and routines
- Reliable internet and distraction-free home setup

Compensation & Benefits
- Pay: $5.00–$7.00 per hour (based on experience and reliability)
