About the Role
We are seeking a highly organized, proactive, and emotionally intelligent Personal Assistant to provide comprehensive administrative and personal support to the CEO and COO.
This role is ideal for a driven professional who thrives in high-frequency environments, manages competing priorities with ease, and handles confidential information with discretion. The successful candidate will have a clear growth pathway into an Executive Assistant role and, over time, a Chief of Staff position.
Key Responsibilities
Executive Support
- Manage and optimize the CEO’s and COO’s calendars, appointments, and daily schedules
- Block time for strategic thinking and ensure effective meeting buffers
- Professionally accept, decline, or reschedule meeting invitations on behalf of executives
- Coordinate meetings across multiple time zones and internal stakeholders
- Triage emails, flag urgent communications, and draft responses when required
- Prepare meeting agendas, pre-read materials, and executive summaries
- Attend meetings to take notes, track action items, and ensure timely follow-ups
- Assist with presentations, briefing notes, and executive decks
Operational & Administrative Support
- Maintain dashboards, trackers, and lists for ongoing executive and company projects
- Follow up with department heads on key action points and deliverables
- Coordinate travel arrangements including flights, accommodation, visas, and itineraries
- Schedule personal appointments and manage reminders for the executives
- Provide light support for family-related logistics where necessary
- Manage confidential company documents, executive files, and brand assets
Growth & Professional Development
- Shadow the CEO and COO to understand executive workflows and leadership styles
- Gradually take on increased responsibility as trust and competence grow
- Identify operational inefficiencies or communication gaps and proactively propose solutions
- Develop skills aligned with progression into Executive Assistant and Chief of Staff roles
Qualifications & Requirements
- Bachelor’s degree in Business Administration, Economics, or a related field
- 3–4 years experience in administrative, personal assistant, or executive support roles
- Excellent organizational, communication, and interpersonal skills
- High emotional intelligence with the ability to work across all levels of the organization
- Proactive, detail-oriented, and capable of working independently
- Proficient in Microsoft Office (Word, Excel, PowerPoint) and Outlook
- Comfortable using collaboration tools such as Zoom, Microsoft Teams, and similar platforms
- Tech-savvy, adaptable, and quick to learn new systems
- Willingness to work beyond standard office hours when required
