Job Purpose
The HR and Administration Intern will provide administrative and human resources support to the HR & Administration Department. This role is ideal for recent graduates seeking hands-on experience in HR operations, office administration, safeguarding, and NGO systems within a professional humanitarian environment.
Reporting Lines
- Reports to: HR and Administration Officer
- Technical Support From: HR and Administration Officer & Head of Mission
- Supervisory Role: None
Key Responsibilities
Human Resources Support
- Assist in recruitment processes, including job posting and first-stage shortlisting
- Support onboarding of new staff
- Maintain HR tools and systems (contracts, leave trackers, performance records, immigration files)
- Ensure personnel files are accurate, complete, and well organized
- Support filing and management of statutory HR documentation
Administration Support
- Provide general clerical support (photocopying, scanning, filing)
- Draft official emails and letters to staff and suppliers
- Support office errands, purchases, and preparation of cash liquidation documents
- Coordinate procurement of office supplies, internet, airtime, and vendor services
- Support facilities management including repairs, maintenance, and utilities follow-ups
- Assist with booking taxis, venues, accommodation, catering, and logistics
- Track HR & Admin requests to ensure timely service delivery
- Support timesheet tracking and proper disposal of confidential documents
- Perform additional administrative duties as assigned
Office Reception Duties
- Welcome and assist visitors professionally and courteously
- Manage incoming and outgoing correspondence and parcels
- Ensure meeting rooms are clean, organized, and ready for use
Safeguarding Responsibilities
- Support safeguarding induction for new staff within 8 weeks of joining
- Assist in organizing safeguarding trainings and refreshers
- Promote a strong safeguarding culture within the organization
- Report safeguarding concerns through appropriate reporting mechanisms
Person Specification
Qualifications & Experience
- Bachelor’s Degree in Human Resource Management or a related field
- New graduates are strongly encouraged to apply
- 0–1 year experience in HR, administration, or a similar role
Required Skills & Competencies
- Strong interpersonal and communication skills
- Excellent written and spoken English
- High level of organization and attention to detail
- Ability to work collaboratively in a team environment
- Strong computer and administrative skills
